If we process data in a third country (i.e., outside the European Union (EU) or the European Economic Area (EEA)) or if processing takes place in connection with the use of third-party services or the disclosure or transfer of data to other entities or individuals, entities, or companies, this is done only in accordance with legal requirements.

Subject to express consent or a transfer required by contract or law, we process or have data processed only in third countries with a recognized level of data protection, including those covered by the EU-U.S. Data Privacy Framework (DPF), provided the provider is certified under this framework; otherwise, U.S. processors certified under the EU Commission’s Standard Contractual Clauses (SCCs), or on the basis of specific safeguards, such as contractual obligations through the EU Commission’s so-called standard protection clauses, the existence of certifications or binding internal data protection policies (Articles 44–49 of the GDPR; EU Commission information page: https://ec.europa.eu/info/law/law-topic/data-protection/international-dimension-data-protection_de

Links

Our website contains links to other websites. We have no influence over the content of the linked sites. These were carefully reviewed before the links were published. Nevertheless, it cannot be ruled out that the operators of the respective sites may have made changes to their content that violate applicable law or Rotec Munich’s philosophy. Rotec Munich distances itself from such content.

SSL or TLS Encryption

For security reasons and to protect the transmission of confidential content—such as inquiries you send to us as the website operator—our website uses SSL or TLS encryption. You can recognize an encrypted connection by the fact that the browser’s address bar changes from “http://” to “https://” and by the padlock icon in your browser’s address bar.

When SSL or TLS encryption is enabled, the data you transmit to us cannot be read by third parties.

Changes to Our Privacy Policy

We reserve the right to amend this Privacy Policy to ensure that it always complies with current legal requirements or to reflect changes to our services in the Privacy Policy, such as when introducing new services. The new Privacy Policy will then apply to your next visit.

3. Data Collection on Our Website

Collection of General Information (Cookies)

When you access our website, general information is automatically collected via a cookie. This information includes, for example, the type of web browser, the operating system used, the domain name of your Internet service provider, and similar details. This information does not allow any conclusions to be drawn about your identity.

This information is technically necessary to correctly deliver the web content you request and is inevitably generated when using the Internet. It is processed specifically for the following purposes:

The processing of your personal data is based on our legitimate interest arising from the aforementioned purposes for data collection. We do not use your data to draw conclusions about your identity. The recipients of the data are only the controller and, where applicable, processors. We may analyze anonymous information of this kind statistically to optimize our website and the underlying technology.

You can disable the storage of cookies in your web browser settings. However, this may impair your ability to use certain content and services on our website.

To the extent that we use cookies or “tracking” technologies, we will inform you separately in this Privacy Policy.

Server Log Files

When you visit a page on our website, our web servers automatically record the following information in a log file: the address (URL) of the page you accessed, the date, time, duration, and size of the request, any error messages, and, if applicable, your computer’s operating system and browser software, as well as the website from which you are visiting us. We also store your computer’s IP address in our log files. The IP address is a number that your Internet service provider assigns to your computer either temporarily or permanently.

Contacting Us and Contact/Order Forms

If you submit inquiries to us via the contact form, we will store the information you provide in the inquiry form—including the contact details you enter there—for the purpose of processing your inquiry and in case of follow-up questions. We will not share this data without your consent.

The processing of the data entered into the contact form is therefore based exclusively on your consent (Art. 6(1)(a) GDPR). You may revoke this consent at any time. To do so, simply send us an informal email (info@rotec-munich.de). The lawfulness of the data processing operations carried out prior to the withdrawal remains unaffected by the withdrawal.

The data you enter in the contact form will remain with us until you request that we delete it, revoke your consent to its storage, or the purpose for storing the data no longer applies (e.g., after your inquiry has been fully processed). Mandatory legal provisions—in particular retention periods—remain unaffected.

4. Social Media

We maintain online presences on social media platforms to communicate with users active on those platforms or to provide information about us there.

Please note that this may involve the processing of user data outside the European Union. This may pose risks to users, as it could, for example, make it more difficult to enforce their rights. With regard to U.S. providers that are certified under the EU-U.S. Data Privacy Framework (DPF), provided the provider is certified for this purpose; otherwise, providers certified under the European Commission’s Standard Contractual Clauses (SCCs) or offering comparable guarantees of a high level of data protection, we note that they thereby commit to complying with EU data protection standards.

Furthermore, user data within social networks is generally processed for market research and advertising purposes. For example, usage profiles can be created based on users’ behavior and the resulting interests. These user profiles can in turn be used, for example, to display advertisements both within and outside the networks that are presumed to correspond to users’ interests. For these purposes, cookies are generally stored on users’ computers, in which their usage behavior and interests are recorded. Furthermore, data may also be stored in the usage profiles regardless of the devices used by users (particularly if users are members of the respective platforms and are logged in to them).

For a detailed description of the respective forms of processing and the options for opting out, please refer to the privacy policies and information provided by the operators of the respective networks.

We also note that requests for information and the exercise of data subject rights are most effectively addressed directly with the providers. Only the providers have access to the users’ data and can directly take appropriate measures and provide information. If you still need assistance, however, you can contact us.

Types of Data Processed

Identification data (e.g., names, addresses), contact data (e.g., email, phone numbers), content data (e.g., text entries, photographs, videos), usage data (e.g., websites visited, interest in content, access times), meta/communication data (e.g., device information, IP addresses).

5. Analytics Tools and Tracking

Google Analytics and Google Tag Manager

This website uses features of the web analytics service Google Analytics. The provider is Google Inc., 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA.

Google Analytics uses so-called “cookies.” These are text files that are stored on your computer and enable an analysis of your use of the website. The information generated by the cookie regarding your use of this website is generally transmitted to a Google server in the United States and stored there.

Google Analytics cookies are stored on the basis of Article 6(1)(f) of the GDPR. The website operator has a legitimate interest in analyzing user behavior in order to optimize both its website and its advertising.

IP Anonymization

We have enabled the IP anonymization feature on this website. As a result, Google truncates your IP address within member states of the European Union or in other signatory states to the Agreement on the European Economic Area before it is transmitted to the United States. Only in exceptional cases is the full IP address transmitted to a Google server in the United States and truncated there. On behalf of the operator of this website, Google will use this information to evaluate your use of the website, to compile reports on website activity, and to provide other services related to website and internet usage to the website operator. The IP address transmitted by your browser as part of Google Analytics is not merged with other Google data.

Browser Plugin

You can prevent the storage of cookies by adjusting your browser settings accordingly; however, please note that in this case, you may not be able to use all features of this website to their full extent. You can also prevent Google from collecting the data generated by the cookie and related to your use of the website (including your IP address), as well as from processing this data, by downloading and installing the browser plugin available at the following link: https://tools.google.com/dlpage/gaoptout?hl=de

Objection to Data Collection

You can prevent Google Analytics from collecting your data by clicking the following link: https://tools.google.com/dlpage/gaoptout?hl=de

For more information on how Google Analytics handles user data, please see Google’s Privacy Policy: https://support.google.com/analytics/answer/6004245?hl=de

Demographic Information in Google Analytics

This website uses the “demographic features” function of Google Analytics. This allows reports to be generated that provide insights into the age, gender, and interests of site visitors. This data is derived from Google’s interest-based advertising as well as from visitor data provided by third parties. This data cannot be associated with any specific individual. You can disable this feature at any time via the ad settings in your Google Account or generally opt out of having your data collected by Google Analytics as described in the section “Objection to Data Collection.”

Data Processing on Behalf of a Client

We have entered into a contract with Google for commissioned data processing and fully comply with the strict requirements of the German data protection authorities when using Google Analytics.

Google Tag Manager

Google Tag Manager is a solution that allows marketers to manage website tags through a single interface. The Tag Manager tool itself (which implements the tags) is a cookie-free domain and does not collect any personal data. The tool triggers other tags, which may in turn collect data. Google Tag Manager does not access this data. If deactivation has been set at the domain or cookie level, it remains in effect for all tracking tags implemented using Google Tag Manager.

HubSpot

We operate this website entirely through the HubSpot platform. The provider is HubSpot Inc., 25 First Street, 2nd Floor, Cambridge, MA 02141, USA (or HubSpot Ireland Limited, Dublin, for EU customers). HubSpot is used in particular to handle the following functions: website hosting and content management, all contact and inquiry forms, the distribution of our newsletter and other email communications, the appointment booking tool (“Meetings”), as well as our knowledge base and support inquiries.

When you fill out a form on our website (e.g., contact request, newsletter sign-up, appointment booking), the data you enter (e.g., name, email address, message) is transmitted to HubSpot and stored and processed there on our behalf as a data processor in order to handle your request or provide the requested service.

When you visit our website, HubSpot may set technically necessary cookies as well as—depending on your cookie consent—analytics and marketing cookies (including for recognizing visitors and analyzing usage behavior).

The legal basis for technically necessary cookies is our legitimate interest in the smooth operation of the website (Art. 6(1)(f) GDPR). For analytics and marketing cookies, the legal basis is your consent (Art. 6(1)(a) GDPR), which you can grant or revoke via our cookie consent tool.

Since HubSpot may also transfer data to the U.S., this is done based on the EU-U.S. Data Privacy Framework (DPF), provided the provider is certified for this purpose; otherwise, the European Commission’s Standard Contractual Clauses (SCCs) apply.

Facebook Pixel and Facebook Custom Audience

On this website, we use the Facebook Pixel and Facebook Custom Audience from Facebook, operated by Facebook Ireland Ltd., 4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland. The code implemented on this site can track the behavior of visitors who arrived at this website via a Facebook ad. This information can be used to improve Facebook ads, and this data is collected and stored by Facebook. We do not have access to the collected data; it is used solely for the purpose of serving ads. The use of the Facebook Pixel code also sets cookies. The use of the Facebook Pixel notifies Facebook of your visit to this website so that you can see relevant ads on Facebook. If you have a Facebook account and are logged in, your visit to this website will be associated with your Facebook account.

We use LinkedIn Marketing Solutions and Ads for marketing and optimization purposes, in particular to analyze the use of our website and to continuously improve individual features, offerings, and the user experience. This constitutes our legitimate interest in the processing of the aforementioned data by the third-party provider. The legal basis is Article 6(1)(f) of the GDPR.

You can prevent the installation of cookies by deleting existing cookies and disabling the storage of cookies in your web browser’s settings. You can also prevent LinkedIn from collecting the aforementioned information by setting an opt-out cookie on one of the websites linked below:

LinkedIn may also transfer data to the United States. The transfer is based on the EU-U.S. Data Privacy Framework (DPF), provided the provider is certified for this purpose; otherwise, it is based on the Standard Contractual Clauses (SCCs) of the European Commission.

Google Ads

Nature and Purpose of Processing

Our website uses Google Conversion Tracking. The operator of Google Ads services is Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA. If you arrived at our website via an ad placed by Google, Google Ads will set a cookie on your computer. The conversion tracking cookie is set when a user clicks on an ad placed by Google.

If the user visits certain pages on our website and the cookie has not yet expired, we and Google can recognize that the user clicked on the ad and was redirected to that page. Each Google Ads customer receives a different cookie. Cookies cannot therefore be tracked across the websites of Ads customers. The information collected using the conversion cookie is used to generate conversion statistics for Ads customers who have opted in to conversion tracking. Customers are informed of the total number of users who clicked on their ad and were redirected to a page tagged with a conversion tracking tag. However, they do not receive any information that can be used to personally identify users.

Legal Basis

The legal basis for the integration of Google Ads and the associated data transfer to Google is your consent (Art. 6(1)(a) GDPR).

Recipients

Each time you visit our website, personal data—including your IP address—is transferred to Google in the United States. This personal data is stored by Google. Google may, under certain circumstances, disclose this personal data—collected through technical means—to third parties. Our company does not receive any information from Google that could be used to identify the data subject.

Retention Period

These cookies expire after 30 days and are not used for personal identification.

Withdrawal of Consent

If you do not wish to participate in tracking, you can refuse the placement of the cookie required for this purpose—for example, by using a browser setting that generally disables the automatic placement of cookies, or by configuring your browser to block cookies from the domain “googleleadservices.com.”

Please note that you must not delete the opt-out cookies as long as you do not wish to have your data tracked. If you have deleted all cookies from your browser, you must set the respective opt-out cookie again.

Provision Required or Necessary

The provision of your personal data is voluntary and based solely on your consent. If you block access, this may result in functional limitations on the website.

Google Remarketing

Nature and Purpose of Processing

This website uses the remarketing feature provided by Google LLC, 1600 Amphitheatre Parkway, Mountain View, CA 94043, USA (hereinafter “Google”). This feature is used to display interest-based ads to website visitors within the Google Display Network. A so-called “cookie” is stored in the website visitor’s browser, which makes it possible to recognize the visitor when they access websites that are part of Google’s advertising network.

Legal Basis

The legal basis for the integration of Google Remarketing and the associated data transfer to Google is your consent (Art. 6(1)(a) GDPR).

Recipients

Each time you visit our website, personal data—including your IP address—is transferred to Google in the United States and stored there.

Nature and Purpose of Processing

We embed YouTube videos on our website. The operator of the corresponding plugins is YouTube, LLC, 901 Cherry Ave., San Bruno, CA 94066, USA (hereinafter “YouTube”). When you visit a page with the YouTube plugin, a connection is established to YouTube’s servers. In the process, YouTube is informed which pages you visit. If you are logged into your YouTube account, YouTube can associate your browsing behavior with you personally. You can prevent this by logging out of your YouTube account beforehand. When a YouTube video is played, the provider uses cookies to collect information about user behavior.

For more information on the purpose and scope of data collection, please refer to the provider’s privacy policy: https://policies.google.com/privacy

The newsletter is sent via our HubSpot platform (see the “HubSpot” section above for details on the provider, transfers to third countries, and the legal bases for the cookies and data processing used in this context).

The processing of the data entered in the newsletter sign-up form is based solely on your consent (Art. 6(1)(a) GDPR). You may revoke your consent to the storage of your data and email address, as well as their use for sending the newsletter, at any time—for example, via the “Unsubscribe” link in the newsletter or by emailing marketing@rotec-munich.de. The lawfulness of data processing operations that have already taken place remains unaffected by this revocation.

The data you have provided to us for the purpose of subscribing to the newsletter will be stored by us until you unsubscribe from the newsletter and will be deleted after you unsubscribe. Data stored by us for other purposes remains unaffected by this.

8. Forms

We provide contact forms on our website. The data entered there is processed via our HubSpot platform, which processes the data exclusively on our behalf. For more information, see the “HubSpot” section above.
